How we collect, use and protect personal information.

1. Who is responsible?

FlyBarz Cup is responsible for the personal information collected through this website and in connection with the event. Questions or privacy requests can be sent to flybarzcup@gmail.com.

2. Information we collect

When an athlete applies, we collect the information entered in the application form, including name, age, email address, Instagram username, country, division, height, weight, competition experience, performance information and the submitted WeTransfer link.

We may also process messages sent to us through email or Instagram. When ticket sales open, the selected ticket provider will process the information needed to complete the purchase, deliver the ticket and handle payment.

3. Required athlete information

Age, height, weight, division, contact details, performance information and every other field marked as required must be submitted for an application to be assessed. FlyBarz Cup needs this information to evaluate eligibility, place athletes in the correct division and organize a safe and fair competition.

If an athlete is uncomfortable providing any required information, they should contact FlyBarz Cup before applying to ask whether an alternative is possible. An alternative cannot be guaranteed. If the required information cannot be provided, the application may not be considered.

4. Why we use the information

  • To review applications and select athletes.
  • To organize qualification, competition participation and athlete communication.
  • To create competition lineups, results and event records.
  • To administer ticket purchases and provide customer service.
  • To meet legal, accounting and security obligations.

Application information is processed because it is necessary to consider the athlete's request to participate and for FlyBarz Cup's legitimate interest in organizing the competition.

5. Photography, filming and event content

FlyBarz Cup is a filmed and photographed public competition. Selected athletes must expect to be recorded before, during and after the event. Photos, video, audio, name, competition performance and results may be published and reused by FlyBarz Cup for live coverage, event documentation, highlights, social media, promotion of future events and the permanent competition archive.

If an athlete has concerns about being filmed, photographed or featured in FlyBarz Cup content, they must contact us before applying or as early as possible. We will consider reasonable requests where practical, but cannot guarantee participation without appearing in event coverage. Athletes who do not accept this essential part of the event should not apply.

6. Who receives the information?

Information is available only to people who need it to organize FlyBarz Cup. We use service providers such as Formspree for application delivery, WeTransfer for athlete video links, website hosting providers and, when selected, a ticket and payment provider. These providers process information under their own security and privacy terms.

7. How long we keep it

FlyBarz Cup may retain application information, qualification material, athlete profiles, event footage, photographs, results and related records for as long as they remain necessary for event administration, documentation, historical rankings, the competition archive, published content or the establishment and defence of legal claims. We do not keep personal information without a relevant purpose. Payment and accounting information is retained for the period required by Norwegian law.

An athlete may ask us to delete their qualification videos, application information or other personal information by emailing flybarzcup@gmail.com or contacting @flybarzcup. Information that is no longer required will be removed as soon as reasonably possible. Some information may need to be retained where required by law, needed to document official results or already forms part of legitimate published event coverage or historical records. We will explain if a request cannot be completed in full.

8. Your rights

You may ask for access to your personal information, correction of incorrect information, deletion, restriction or objection to certain processing. Where processing is based on consent, consent may be withdrawn. A deletion request does not always create an absolute right to removal, but every request will be assessed and answered. Contact flybarzcup@gmail.com. You may also complain to the Norwegian Data Protection Authority.

9. Cookies and updates

The website does not currently use advertising cookies. Essential technical storage may be used to operate the website. If analytics or additional services are introduced, this policy will be updated. Material changes will be published on this page.
